How to Install Exfi Billing Software

The Exfi Billing software is extremely easy to implement in any scale and you can get started with all the operations almost instantly.
It is extremely easy to install & no CD or other media, special training or additional investment is ever needed when you invest in this.

Note* : Installation process for Windows 7 is slightly different from Windows 8 & Windows 10.
Windows 7 users must download .NET 4.5 and Microsoft Visual C++ 2005 Redistributable.

Installation For Windows 7:

First, click on the Exfi billing software icon visible at desktop to start installation process.

Click on “Next” to continue setup wizard.The setup wizard will allow you to installed this software on the computer.

A Open file- Security warning pop up will open with publisher name and path. Click on “Run” to continue the process.

Next Try reinstalling using settings that are compatible with this version of windows. Select “Reinstall using recommended settings”.

Now Install Microsoft Visual C++ 2005 Redistributable - requirement only for window 7. Please wait while Windows configure.

Now Select the additional tasks you would like setup to perform while installing System.Data.SQLite,then click ”Next”.

Click to “Finish” button to exit the Setup.Setup has finished installing System.Data.SQLite on your computer.

Click to “Close” button to exit the Setup wizard.This process will install software in your computer.

Installation For Windows 8 and Windows 10:

First, click on the Exfi billing software icon visible at desktop to start installation process.

Now click on “Next” to continue setup wizard.The setup wizard will allow you to installed this software on the computer.

Select check box ”I accept the terms in the license Agreement” to continue the process.

Select the installation folder where software will be installed.

Click on “Install” to begin installation.The Setup wizard is ready to begin the Exfi Billing installation.

Please wait while the setup wizard installs in progress.

Click to “Close” button to exit the Setup wizard.This process will install software in your computer.

Manage Company Settings

Every company will have different requirements, so we can manage all the required company setup through company setting menu. You can enter basic information of your organization such as address, contact information, etc.
This information is automatically fetched when you create estimates and invoices.

In the Organization Profile page, you will come across the following fields:
  1. Company name & address: You can edit your organization name and company address, entered during quick setup.
  2. (Optional) Provide a detailed postal address along with other contact details such as phone number, company email, website, state if required.
  3. Change Currency if want.
  4. Provide identifying number used for tax, service tax no, GSTIN, running out limit fields.
  5. Set Stocks Running Out Limit yourself from setting to get notification
  6. Specify Prefix for sale and purchase invoice, quotations, sale returns invoice which will be reflected in all your documents such as estimates, invoices.
  7. Company Logo: The logo you upload here will be reflected in all your documents such as estimates, invoices, etc. You can simply click on 'select' button, select the image file and upload it.
  8. Click the confirmation submit to confirm the change.

Customers/Suppliers

Exfi Billing bring your customers and suppliers together on the same platform for greater end-to-end visibility and control.
It captures, manages and tracks the details of every customer and vendor interaction in a single software.

Action for Contacts/Clients Module

Add new customer or supplier :

Here's one of the ways you can add an individual customer or supplier as a contact. You might add a contact this way - rather than when you're entering their first transaction.

  1. Click on Contacts Module
  2. Click on contact type as a customer or supplier.Make sure you have select the correct contact type.
  3. Under Customer Or Vendor Name, add the name of your customer’s business
  4. Insert the customer’s GSTIN
  5. (Optional) Enter your Email address with phone, TIN, PAN, VAT no etc
  6. (Optional) Provide billing address, postal code, city, state, country
  7. Click Add for submit.This saved information will reflect in your contact list and you will never have to fill in these details again.
You are allow to filter for a contact(either customer or supplier) with its type and city from view list of contacts.

View all Contacts(customers or suppliers) :

View all Contacts as customers or suppliers with details like billing address, email, contact name, display name, type of contact. To view a particular contact with all details in a form, click on edit icon.

Edit particular contact :

Edit a contact's details so you can get in touch with them easily, and enter default financial details to apply to transactions with the contact.

  1. Click on Contacts menu
  2. Click the edit icon of a contact you want to edit.
  3. View details of contact in form and enter your updated information in the contact fields.
  4. Click Update to save changes.

Active or Inactive or delete particular contact :

Allow contact to visible in contact list with option of enable or disable.You can delete particular contact that you no longer do business with.

  1. Click the contact delete icon, you want to delete.
  2. Click Delete to confirm.

Items

Exfi Billing Software organizing and keeping track of your product stocks is as easy as 1, 2, 3! where units of measurement are concerned. From hours to boxes or kilograms, use whatever measure you need.

This module handles three sub-modules :

  • Products
  • Product/Services Management is a software to track orders , control stock , and manage business. Product/Services is the quantity of a particular product that is available for sale and manage Stocks with Features like Stocks running out notifications

  • Brands
  • Brand for a product can add, edit, delete, enable or disable from list.

  • Categories
  • Categories for a product can add, edit, delete, enable or disable from list.

Products :

Tracked inventory product you use regularly in transactions, where you want to track its quantity and value.

Action for Products

Add new product:

Enter the information you want to display whenever you use the products in bills, invoices, or other transactions.

  1. Click on Products Module
  2. Click on add products/services.
  3. Generate barcode for product (Every time, a new barcode is generated for a product).
  4. Enter Product name(must be unique).
  5. Select category, brand, and type for a product.
  6. Under HSN code, fill out the HSN code of the item
  7. Select * UoM (Unit of measurement for product like box, gram, meter etc.).
  8. Provide selling and purchase price, quantity, tax for product.
  9. Click Add for submit.
  10. If you want to empty the form at a time, you can do by Reset Button.

Search operation for particular product :

You are allow to filter for particular product (either product or service) with its category and brand from whole list of products.

View all Products (either product or service) :

View all Products with details like product name, category, brand, quantity, price, tax and stock notification. To view a particular product with all details in a form, click on edit icon.

Edit particular product :

Edit a product's details so you can get in touch with them easily.

  1. Click on Products/services Module
  2. Click the edit icon of a product you want to edit.
  3. View details of product in form and enter your updated information in the product fields.
  4. Click Update to save changes.

Enable or disable or delete particular product :

Allow products to visible in product list with option of enable or disable.You can delete particular product that you no longer do business with.

  1. Click the product delete icon, you want to delete.
  2. Click Delete to confirm.

Invoices

Sales invoices request payment for the goods and services you provide to your customers. They contain descriptions and quantities of the products you sell. You can customize your invoice content and format. Once created, send them to your customers in the way that best suits your business.

This module handles three sub-modules :

  • Sales invoices request payment for the goods and services you provide to your customers (sometimes called accounts receivable). They contain descriptions and quantities of the items you sell. You can customize your invoice with available customization features such as pay invoice, view, export, delete.
  • Purchase invoice is an itemized statement of the goods or services provided by a vendor or supplier. It indicates the quantity and price of each product or service provided or to be provided.
  • Sales returns where goods sold are returned with customization features such as view, export, delete.

Sales Invoices

Action for Sales Invoices

Add/ Create new Invoice :

Create an invoice for someone to pay you (sometimes called accounts receivable) with details.

  1. Go to Business flow : Invoices
  2. Fields in invoices explained
    • Client & invoices details
      1. Client Name : Select the name of the client you would like to send the invoice to.
      2. Invoice Date : This will default to today's date. You can change this.
      3. Invoice Number: Provide default or automatic numbering sequence or you can specify your own invoice no and can set as default.
    • Invoice Item details
      1. Barcode : Select barcode, you have created in an organization.
      2. Product/service name :Automatically product name will be selected, according to selected barcode.
      3. HSN code for a product.
      4. UoM : Select the unit of measurement for a new product
      5. Quantity : Enter the quantity of product you are providing.
      6. Unit Price : You can enter positive, negative or zero amounts but the overall amount can't be negative.
      7. Tax code : select tax rate from the drop-down menu.
      8. Check total discount or round off, if required on product.
      9. Click add to add invoice.
    • Note for client & private notes can be given.
    • Select the page size and check pos print ,if want.
  3. Preview your document before save.
  4. Save and print invoice

Search operation for particular invoice :

Allow to filter a invoice with its client name, invoice number, start date, end date, status (paid or unpaid).

View all invoices with status:

Invoices are viewed with details like date, client name, amount, tax, discount, total amount, status, amount paid, private note, balance, date of payment, invoice number with option to view particular invoice details.

  1. Go to Business flow : Invoices
  2. View all the created invoices with details here.
  3. Particular invoice details can be viewed with option VIEW icon.

View particular invoice with details :

Particular invoice detail can be viewed with all details.

Pay Invoice :

Payment to invoice can be done from here.

Export operations for invoice :

Export invoices and their details, from Exfi Billing to a CSV file. You can choose to export all invoices.

  1. Click on Invoices menu
  2. Select the group of invoices you want to export.
  3. Click Export.

Delete particular invoice :

You can delete particular invoice that you no longer do business with.

  1. Click the invoice delete icon, you want to delete.
  2. Click Delete to confirm.

Purchases Invoices

Purchase invoice is an itemized statement of the goods or services provided by a vendor or supplier. It indicates the quantity and price of each product or service provided or to be provided.

Action for Purchases Invoices

Same process as for Sales invoice.

Quotations

Quotes tell your customers the goods and services you provide to them. They also define details such as contact name, date and total amount. You can create new quotes to save data entry time.

Action for Quotations

Add/ Create new Quotation :

Create a quote to let your customers know your terms for doing business with them.

  1. Go to Business flow : Quotations
  2. Fields in quotes explained
    • Customer & Quotes details
      1. Client Name : Select the name of the client you would like to send the quote to.
      2. Quote Date : This will default to today's date. You can change this.
      3. Quotation Number: Exfi Billing use default or automatic numbering sequence to your quotation or you can set your own quotation no and set as default.
    • Quote Item details

Quotations are viewed with details like date, quotation no, client name, amount, tax, discount, total amount, invoiced type, private note, invoice number with option to view particular quote details.

  1. Go to Business flow : Quotations
  2. View all the created quotations with details here.
  3. Particular quote details can be viewed with option VIEW icon.

View particular quote with details :

Particular quote detail can be viewed with all details.

Convert quote into invoice :

Particular Quote can be converted into invoice with icon (invoiced field will change from no to yes).

Export operations for quote :

Export quotes and their details, from Exfi Billing to a CSV file. You can choose to export all quotes.

  1. Click on Quotes menu
  2. Select the group of quotes you want to export.
  3. Click Export.

Delete particular quote :

You can delete particular quote that you no longer do business with.

  1. Click the quote delete icon, you want to delete.
  2. Click Delete to confirm.

Taxes

The most crucial function an billing is required to perform is to manage taxation – right from defining correct taxes, associating them with various transactions and / or goods.

Manage Taxes :

Manage your own tax rates to charge or record sales tax on your invoices, bills and transactions.

Action for Manage Taxes

Add new Tax :

Use the new Tax Rate to add your own tax rate.These tax rates are apply on each item with specify tax rate(%).

  1. Business flow : Taxes.
  2. Enter the components of your tax.
    • Tax name
    • Tax rate
    • Select as default
  3. Click Save .

View all taxes :

Yes, All tax rates can be seen at a time with details.

  1. Business flow :Taxes
  2. View all tax rates at a time.
  3. Click at particular tax rate to see full details.

Edit particular tax with details :

Click any tax rate icon to edit it. Editing a tax rate is the same as adding a Tax Rate.

  1. Business flow :Taxes
  2. You edit your tax like :
    • Tax name
    • Tax rate
    • Select as default
  3. Click Update.

Enable or disable or delete particular tax :

Allow taxes to visible in tax list with option of enable or disable.You can delete particular tax that you no longer do business with.

  1. Click the tax delete icon, you want to delete.
  2. Click Delete to confirm.

GST HSN Code :

Add and validate GST HSN code for all the goods and services, then all you need to do is simply set these values for each item.

Manage HSN :

Manage all HSN code. If any HSN code is not required,you can remove it by selecting it.


Reports

With our customize reports you'll have the important data and statistics you need at your finger tips. You'll be able to analyze reports to identify trends and fluctuations.
  • Summary report for sale and purchase:
    • View summary report for invoices v/s quotations and purchases in pie chart
    • You can view yearly report for total sale on year/month in bar chart.
    Reports on your clients, payment history, services, stock in hand, sales by product and everything else you need to know in order to run your business.

  • Stock report:
    • View stock report with Features like Stocks running out notifications
    • You are allow to filter for particular product (either product or service) with its category, status and brand from whole list of products.
    • Display report for total no. of items include products and service and total value of products and services.

  • GST report:
    • It help you manage your inventory, but also offers detailed reports on your clients, payment history, services.
    • With useful filters, this invoice software allows you to see reports of invoices with IGST, CGST, SGST.
    • You are allow to filter for particular contacts (either customer or supplier) with its start and end date, contact name and type.
