Exfi is simplest & easiest Goods and Service tax software which helps you to manage multiple companies, invoices, bills and manage inventory as per the Goods and Service tax guidelines. You can do your business , Exfi will take care of your Invoicing and Billing.
  • The Exfi software supports multiple companies access to a single user too i.e. if you have multiple companies, we don’t have to login individually to each company. Select one of the many companies and manage the company's data.
  • Every company will have different requirements, so we can create a company with all the required through Splash Screen. You can enter basic information of your organization such as address, contact information, etc.
  • Backing up and restoring company files means, copying of a multiple company file to some form of storage medium, such as a CD, different hard disk or other media.
  • Restoring a backup will erase the contents of the selected company and replace it with what is contained in the Exfi Software.
  • Exfi allow to cloud your automated cloud data to ensure data that is deleted can be restored anytime. Select date/time to restore automatic backup data.

How to Install Exfi Billing Software

The Exfi Billing software is extremely easy to implement in any scale and you can get started with all the operations almost instantly. It is extremely easy to install & no CD or other media, special training or additional investment is ever needed when you invest in this.

1. First, click on the Exfi billing software icon visible at desktop to start installation process.

2. A Open file- Security warning pop up will open with publisher name and path. Click on “Run” to continue the process.

3. Select check box ”I accept the terms in the license Agreement” to continue the process.

4. Now Select the additional tasks you would like setup to perform while installing System.Data.SQLite,then click ”Next”.

5. Now Setup is ready to begin install. Click install to continue with the installation, or click back to review or change any settings.

6. Click to “Finish” button to exit the Setup.Setup has finished installing System.Data.SQLite on your computer.

Exfi billing software is built in such a way that your companies is entirely organized and automated. Able to prepare the invoices very quickly, check alternatives for items, apply and suggest existing promotions to the contacts, leads etc.

Dashboards

The data on dashboard needs to be accurate and up-to-date, and may only be updated infrequently. It is a reporting tool let you to monitor and measure performance and business metrics in real-time.
You can visualize and analyze data from across the organization on your dashboard, helping you gain valuable insight and drive accurate decision making.
  • Enhance the look and feel with interactive Monthly sales and purchase graph.Can filter graph data for a selected month.
  • Dynamic links to add modules like add new invoice, quotations, clients, products/services, tax, category, brand.
  • Display Stocks running out notification.
  • View your invoice aging summary with :
    • Sale: Invoices with paid or unpaid counts.
    • Purchase: Purchase with paid or unpaid counts.

Manage Company Settings

It's very easy and quick to change your company setting . Every company will have different requirements, so we can manage all the required company setup through company setting menu.
You can update basic information of your organization such as address, contact information, etc any time. This information is automatically fetched when you create estimates and invoices.

Update Company settings details :
  1. Company name & address: You can edit your organization name and company address, entered during quick setup.
  2. (Optional) Provide a detailed postal address along with other contact details such as phone number, company email, website, state if required.
  3. Set Stocks Running Out Limit yourself from setting to get notification
  4. Specify Prefix for sale, purchase invoice and quotations which will be reflected in all your documents such as estimates, invoices.
  5. Company Logo: The logo you upload here will be reflected in all your documents such as estimates, invoices, etc. You can simply click on 'select' button, select the image file and upload it.
  6. Select your type of business of the company (like pharmaceutical type also).
  7. Enter PAN, D.L.No, CIN no, TIN and GSTIN (for GSTR1 and GSTR 3B report)number.
  8. Check tick option, if want to print logo on invoices.
  9. You can set aggregate turnover Financial year and april-june fields for GSTR1 and GSTR3B from here.
  10. Check if you want to add bank details in normal invoice print.
  11. Click the confirmation submit to confirm the change.

Contacts

Exfi Billing bring your customers, suppliers and leads together on the same platform for greater end-to-end visibility and control. It captures, manages and tracks the details of every customer and vendor interaction in a single software. This module handles two sub-modules :

Clients

Clients module in Exfi is where you store all the details of your customers/suppliers. As customers/suppliers are very important to any business, it is expedient to save their contact information.
  • You can add an individual customer or supplier as a client here.
    1. Click on add new supplier or customer button.
    2. Select radio button for contact type as a customer or supplier.Make sure you have select the correct contact type.
    3. Enter contact name and display name, phone and email (as personal information).
    4. Enter customer/supplier's GSTIN, TIN, PAN, VAT and D.L.No.
    5. Provide billing address, postal code, city, state, country. If shipping address is same as shipping address, check right.
    6. Click Add for submit.This saved information will reflect in your contact list and you will never have to fill in these details again.If you want to empty the form at a time, you can do by Reset Button.
  • You are allow to filter for a contact(either customer or supplier) with its type and city from view list of contacts.
  • You can Export all clients, import a clients or export clients( export only this page of clients) in Exfi.
  • Yo can convert a customer to lead contact (only customer can be convert into lead).
  • View all Contacts as customers or suppliers with details like billing address, email, contact name, display name, type of contact. Edit a client's details by :
    1. Click on edit icon.
    2. Updated any information you want to do..
    3. Click Update to save changes.
  • Allow a client to visible in clients list with option of enable or disable icon.You can delete particular client that you no longer do business with delete icon.

Leads

Leads module in Exfi is where you store all the details of your Leads. Converting leads to loyal customers is what it takes to stay in business and grow.
  • Record and track complete lead details like contact name, display name, phone and more. You can easily view details related to each lead.
    1. Click on add new lead button.
    2. Enter lead name and display name, phone and email (as personal information).
    3. Enter GSTIN, TIN, PAN, VAT and D.L.No.
    4. Provide address, postal code, city, state, country. If shipping address is same as shipping address, check right.
    5. Enter lead source, status, industry and rating.
    6. Click Add for submit.This saved information will reflect in your contact list and you will never have to fill in these details again.If you want to empty the form at a time, you can do by Reset Button.
  • You are allow to filter for a lead with its country and city from view list of leads.
  • You can Export all leads, import a leads or export leads( export only this page of leads) in Exfi.
  • Yo can convert a lead to customer (leads can be converted only to customer).
  • View all leads with details like address, email, contact name, display name, type of contact. Edit a lead's details by :
    1. Click on edit icon.
    2. Updated any information you want to do.
    3. Click Update to save changes.
  • You can delete particular lead that you no longer do business with delete icon.

Items

Exfi Billing Software organizing and keeping track of your product stocks is as easy as 1, 2, 3! where units of measurement are concerned. From hours to boxes or kilograms, use whatever measure you need for your business. This module handles four sub-modules :

Products

Product/Services Management is a feature to track orders , control stock , and manage business. Product/Services is the quantity of a particular product that is available for sale and manage Stocks with features like Stocks running out notifications.
In Exfi, you can import and export/export all items at time.
  • Enter the information you want to display whenever you use the products in bills, invoices, or other transactions.
    1. Click on add products/services button.
    2. Generate barcode for product (Every time, a new barcode is generated for a product). You can re-generate a barcode, if required.
    3. Enter product name (must be unique), product variant.
    4. Select category, brand, and type for a product.You can add new from here itself.
    5. Enter descriptions, select HSN code and tax for an item.
    6. Select * UoM (Unit of measurement for product like box, gram, meter etc.)
    7. Enter selling, purchase price, market price, expiry date, batch number, quantity and mfg name for a product/service.
    8. Click Add for save.If you want to empty the form at a time, you can do by Reset Button.
  • You are allow to filter for particular product (either product or service) with its product/service name, category and brand from whole list of products.
  • You can Export all items, import a item or export item( export only this page of items) in Exfi.
  • View all Products with details like product name, type, category, UoM, brand, quantity, price, tax and stock notification. To view a particular product with all details in a form, click on edit icon.
  • Edit a product's details so you can get in touch with them easily.
    1. Click on edit icon.
    2. View details of product in form and enter your updated information in the product fields.
    3. Click Update to save changes.
  • Allow products to visible in product list with option of enable or disable icon.You can delete particular product that you no longer do business with delete icon.

Brands

Brand for a product can add, edit, delete, enable or disable from list with brand name.

Categories

Categories for a product can add, edit, delete, enable or disable from list with catgory name.

Price Tag With Barcode

You can now manage your price tags, with barcode labeling software can do all this by yourself, simply and quickly.
  • Export your barcode symbols to image: Exfi features a powerful export and enables you to save barcode to image.
  • It supports png, jpg formats.You can print multiple barcode at a time.

Invoices

You can create invoices for the goods or services that you sell to your customers. You can customize your invoice content and format. Once created, send them to your customers in the way that best suits your business.This module handles three sub-modules :
  • Sales invoices request payment for the goods and services you provide to your customers (sometimes called accounts receivable). You can customize your invoice with available customization features such as pay invoice, view, export, delete.
  • In credit/debit notes, debit Note is issued by the purchaser, at the time of returning the goods to the vendor, and the vendor issues a credit Note to inform that he/she has received the returned goods.
  • Purchase invoice is an itemized statement of the goods or services provided by a vendor or supplier. It indicates the quantity and price of each product or service provided or to be provided.

Sales invoices

You can customize your invoice with available customization features such as pay invoice, view, export, delete.
  • Create an invoice for someone to pay you (sometimes called accounts receivable) with details.
    • Client & invoices details
      1. Client Name : Select the name of the client you would like to send the invoice to.You can add or edit a client from here itself.
      2. Select invoice type as good/service.
      3. Exfi Billing use default or automatic numbering sequence to your invoice or you can set your own invoice no and set as default. Select invoice date(this will default to today's date). Set this quote as default invoice.
    • Invoice Item details
      1. Barcode : Select barcode, you have created in an organization.
      2. Product/service name :Automatically product name will be selected, according to selected barcode.
      3. HSN Code : must provide invoice HSN code for a product.
      4. UoM : Select the unit of measurement for a new product
      5. Quantity : Enter the quantity of product you are providing.
      6. Unit Price : You can enter positive, negative or zero amounts but the overall amount can't be negative.
      7. Tax code : select tax rate from the drop-down menu.
      8. Click add to add invoice.
    • You add shipping charges, advance paid, round off, tatal discount and many more in invoice.
    • You add Notes for client & private notes(not shown to client).
    • Select option as original for receipt or duplicate for transport or triplicate for suppliers.
    • Preview your document before save or save and print your invoice.
  • Allow to filter a invoice with its client name, invoice number, start date, end date, status (paid or unpaid).
  • You can Export all invoices, or export invoices( export only this page of invoices) in Exfi.
  • Payment to invoice can be done from here. Simply click on payment icon.
  • You can send an email attached with bank details(if want) in payment.
  • Invoices are viewed with details like date, client name, amount, tax, discount, total amount, status, amount paid, balance, date of payment with options. Particular invoice detail can be viewed with view icon. You can save an invoice as PDF also.
  • Edit a invoice's details any time.
    1. Click on edit icon.
    2. Updated any information you required to update.
    3. You can preview, mail invoice, save or print invoice.
  • You can delete particular invoice that you no longer do business with delete icon. Confirm to delete.

Credit/Debit Notes

In credit/debit notes, debit Note is issued by the purchaser, at the time of returning the goods to the vendor, and the vendor issues a credit Note to inform that he/she has received the returned goods.
  • Create a sale(credit/debit) note with document type.
    • Document details
      1. Client Name : Select the name of the client you would like to send the invoice to.You can edit a client from here itself.
      2. Select invoice type as good/service, document type, effect on inventory.
      3. Exfi Billing use default or automatic numbering sequence to your credit/debit note or you can set your own credit/debit note no and set as default. Select credit/debit note date(this will default to today's date). Set this credit/debit note as default credit/debit note.
      4. Select reason for issuing documentation.
    • Credit/Debit Note Item details
      1. Barcode : Select barcode, you have created in an organization.
      2. Product/service name :Automatically product name will be selected, according to selected barcode.
      3. HSN Code : must provide invoice HSN code for a product.
      4. UoM : Select the unit of measurement for a new product
      5. Quantity : Enter the quantity of product you are providing.
      6. Unit Price : You can enter positive, negative or zero amounts but the overall amount can't be negative.
      7. Tax code : select tax rate from the drop-down menu.
      8. Click add to add Credit/Debit Note.
    • You add shipping charges, advance paid, round off, tatal discount and many more in Credit/Debit Note.
    • You add Notes for client & private notes(not shown to client).
    • Select option as original for receipt or duplicate for transport or triplicate for suppliers.
    • Preview your document before save or save and print your Credit/Debit Note.
  • Allow to filter a credit/debit note with its client name, sale note number, start date and end date.
  • You can Export all credit/debit notes, or export credit/debit notes( export only this page of credit/debit notes) in Exfi.
  • You can send an email attached with bank details(if want) in payment.
  • Credit/debit notes are viewed with details like date, client name, amount, tax, discount, total amount, invoice number, note number with options. Particular Credit/debit note detail can be viewed with view icon.You can save Credit/debit note as PDF also.
  • Edit a Credit/debit note details any time.
    1. Click on edit icon.
    2. Updated any information you required to update.
    3. You can preview, mail invoice, save or print invoice.

Purchases Invoices

Purchase invoice is an itemized statement of the goods or services provided by a vendor or supplier. It indicates the quantity and price of each product or service provided or to be provided.
  • Create a quote to let your customers know your terms for doing business with them.
    • Client & purchases invoices details
      1. Client Name : Select the name of the client you would like to send the invoice to.You can add or edit a client from here itself.
      2. Select invoice type as good/service.
      3. Exfi Billing use default or automatic numbering sequence to your purchase invoice or you can set your own purchase invoice no and set as default. Select invoice date(this will default to today's date). Set this quote as default purchase invoice.
    • Invoice Item details
      1. Barcode : Select barcode, you have created in an organization.
      2. Product/service name :Automatically product name will be selected, according to selected barcode.
      3. HSN Code : must provide invoice HSN code for a product.
      4. UoM : Select the unit of measurement for a new product
      5. Quantity : Enter the quantity of product you are providing.

    • Preview your document before save or save and print your purchase invoice.
  • Allow to filter a purchase invoice with its client name, invoice number, start date, end date, status (paid or unpaid).
  • You can Export all purchase invoices, or export purchase invoices( export only this page of purchase invoices) in Exfi.
  • Payment to purchase invoice can be done from here. Simply click on payment icon.
  • You can send an email attached with bank details(if want) in payment.
  • Purchase invoices are viewed with details like date, client name, amount, tax, discount, total amount, status, amount paid, balance, date of payment with options. Particular purchase invoice detail can be viewed with view icon. You can save an purchase invoice as PDF also.
  • Edit a purchase invoice's details any time.
    1. Click on edit icon.

Quotations

Quotes tell your customers the goods and services you provide to them. They also define details such as contact name, date and total amount. You can create new quotes to save data entry time.
  • Create a quote to let your customers know your terms for doing business with them.
    • Customer & Quotes details
      1. Client Name : Select the name of the client you would like to send the quote to.You can add or edit a client from here itself.
      2. Select quote type as good/service.
      3. Exfi Billing use default or automatic numbering sequence to your quotation or you can set your own quotation no and set as default. Select Quote Date(this will default to today's date). Set this quote as default quote.
    • Quote Item details
      1. Barcode : Select barcode, you have created in an organization.
      2. Product/service name :Automatically product name will be selected, according to selected barcode.
      3. HSN Code : must provide quotation HSN code for a product.
      4. UoM : Select the unit of measurement for a new product
      5. Quantity : Enter the quantity of product you are providing.
      6. Unit Price : You can enter positive, negative or zero amounts but the overall amount can't be negative.
      7. Tax code : select tax rate from the drop-down menu.
      8. Click add to add quote.
    • You can check Sbp codes, add Notes for client & private notes.
    • Select option as original for receipt or duplicate for transport or triplicate for suppliers.
    • Preview your document before save or save and print your quote.
  • Allow to filter for particular quotation with its client name, quotation number, start date and end date.
  • You can Export all quotes, or export quotes( export only this page of quotes) in Exfi.
  • Particular Quote can be converted into invoice. To converted a particular quote, click on convert icon.
  • You can send an email attached with bank details(if want) in payment.
  • Quotations are viewed with details like date, quotation no, client name, amount, tax, discount, total amount, invoiced type with options. Particular quote detail can be viewed with view icon.
  • Edit a quote's details any time.
    1. Click on edit icon.
    2. Updated any information you required to update.
    3. You can mail invoice in edit quotation.
  • You can delete particular quote that you no longer do business with delete icon. Confirm to delete.

Taxes

Exfi is updated for all your GST billing laws : It allows you to make invoices with the corresponding HSN codes for products or SAC codes for services. Along these you need to add the correct GST tax rates to your items to ensure your invoices are correct.
In Exfi, you can easily manage taxes like GST HSN code, *GST SAC code, HSN, *SAC Taxes.

Manage Taxes

Manage your own GST formats taxes rates to charge or record sales tax from invoices to purchase orders and more.
  • Add your own taxes in Exfi. These tax rates are apply on each items with specify tax rate(%).
    1. Enter tax name, tax rate.
    2. Set as default tax for all items.
    3. Click Save.
  • All tax rates can be seen at a time with details.
    1. View all tax rates at a time.
    2. Click at particular tax rate to see full specifications.
  • Click any tax rate icon to edit it. Editing a tax rate is the same as adding a Tax Rate.
    1. Update tax name, tax rate.
    2. Set as default tax for all items, if want.
    3. Click Update.
  • Allow taxes to visible in tax list with icon of enable or disable .You can delete particular tax that you no longer need with delete icon.

GST HSN Code

Add and validate GST HSN code for all the goods and services, all you need to do is simply set HSN code on each item. Add GST HSN code : You can add by simply click on ADD HSN Button to add code.
  1. Add HSN code number, 4 digit HSN code, name of the commodity and GST rate.
  2. Click HSN save button to save.
Validate GST HSN code : You can validate entered HSN code by validate HSN Button to add code.
  1. Add 4 digit HSN code.
  2. Click validate HSN and apply button to save.

Manage HSN

Manage all HSN code with HSN code, 4 digit HSN code, description, tax value(%). If any HSN code is not required,you can remove it by selecting it.

*GST SAC Code

Add and validate GST SAC code for all the goods and services, all you need to do is simply set SAC code on each item. Add GST SAC code : You can add by simply click on ADD SAC Button to add code.
  1. Add SAC code number, 4 digit SAC code, name of the commodity and GST rate.
  2. Click SAC save button to save.
Validate GST SAC code : You can validate entered SAC code by validate SAC Button to add code.
  1. Add 4 digit SAC code.
  2. Click validate SAC and apply button to save.

*Manage SAC

Manage all SAC code with SAC code, 4 digit SAC code, description, tax value(%). If any SAC code is not required,you can remove it by selecting it.

Reports

In Exfi, instantly analysis how your business is performing with customizable reports. You'll have the important data and statistics you need at your fingertips.
  • Reports on your clients, payment history, services, stock in hand, sales by product and everything else you need to know in order to run your business.
  • Able to analyze all reports related to sales/purchases, stocks, GST, invoices and inventory to identify trends and fluctuations in Exfi.
  • Allow to export reports in any excel or csv or PDF format or either print to save in your local drive.
  • Summary report for sale and purchase : Stay on top of your finances with powerful Exfi report of sales, purchase and inventory reports.
    • View summary report for invoices v/s quotations and invoices v/s purchases in pie chart
    • You can view yearly report for total sale on year/month in bar chart.
    • Summary report can be printed normally by "Print Button".
  • Get a closer look on stocks for all of your items: check the quantity sold and the remaining quantity, unit price, your sale price.
    • Exfi have alert feature like Stocks running out notifications.
    • You are allow to filter for particular product (either product or service) with its category, status, type and brand from whole list of products.
    • Display report for total no. of items include products and service and total value of products and services.
    • Allow to export stocks report in any excel or csv or PDF format or print to save in your local drive.
  • It help you manage your inventory with GST, but also offers detailed reports on your clients, payment history, services.
    • With useful filters, Exfi allows you to see reports with tax breakdown (IGST, SGST and CGST).
    • You are allow to filter for particular contacts (either customer or supplier) with its start and end date, contact name and type.
    • Allow to export GST report in any excel or csv or PDF format or either print to save in your local drive.
  • For each client you can generate a report of the invoices you made for him / her, containing the total amount paid, balance amount, amount with tax, amount without tax and date.
    • You are allow to filter for particular Invoices with its start and end date, (either customer or supplier) name and type.
    • Allow to export Invoices report in any excel or csv or PDF format or either print to save in your local drive.
  • You can view a report on sales by item for each and every invoice made for your tracked inventory, showcasing the product name, supplier/contact name, quantity, total unit price, total sale amount of the items sold.
    • You are allow to filter for particular Inventory with its start and end date, (either customer or supplier) name, product name, product type and contact type.
    • Allow to export Inventory report in any excel or csv or PDF format or either print to save in your local drive.

Financial Year module

  • Add a new financial year with year, start date, end date and set as a default year for invoices, quotations, purchases data for a company.
  • Find the financial year you want to edit in the list. Click on that financial year edit icon, and their details will appear in pane.
  • Set added year as a default year for invoices, quotations, purchases data for a company. Invoice , quotations, purchases no will start from one itself after reset default year.
  • Find the financial year you want to delete from a the list. Click on that financial year delete icon, a confirm will display. Click 'OK'.
    Note If you delete a financial year, all invoices related to that year will also deleted automatically.

Backup Data

Save the data on your local hard drive and access it whenever you need with the certainty that you will not lose a single file. Backup will help you to restore your data.

* Import Data

In Exfi you have the option to import data from your computer to speed up the data collation process inside clients, products & services, and leads.
  • You can also export data in CSV format from Exfi for your reference or other purposes. The file which you are importing should be in same format just like a file which you have export in CSV.
  • Check if you current selected file contains columns name in first row, means first row as a header row.

Print layout configurations

Make your invoices reflect your needs, brands with Exfi ready-to-use templates layouts. You can also have customizable templates layout in Exfi. You can set page layout as A4 or A5 size and page style as standard or material colored layout.
  • In Normal Print Layout Template is set as default for invoices print layout. It includes all details related to a invoice but excluded transport details, terms & conditions.
  • Print Layout Template 1 includes all details related to a invoice with transport details, terms & conditions.
  • Print Layout Template 2 is slightly different Print Layout Template 1 in view but includes all details related to a invoice with transport details, terms & conditions.
  • Lets you modify and customize the invoices as one default printing layouts according to your requirements.
    • You can print logo in custom print layout by setting up distance(either in percentage or pixels) of logo.
    • It excluded transport details, terms & conditions.

Primary Printer

All the common options related to Printer have been clubbed together under the head Default Primary Printer Module . You can set printer as Normal or as POS.
  • You can set local printer as specific printer to print.You can view selected printer informations with port, driver name, driver id etc.
  • Set POS or Receipt printer to use specific ip to locate your wifi printer. Enter IP, select local printer and click "Test print button" to test.
    Note This is only valid for A6 & A7 Print mode.

* Switch Company

In Exfi, you can switch between companies in between, anytime and manage your companies with customizable reports and dashboards. Switching will load all the data related to a selected company.

*Multiple Barcode

Multiple Barcode Generator in Exfi offers all commonly practiced barcode such as EAN 13 barcode, UPC-A barcode, IFT barcode and Custom barcode to create unique and accurate barcodes. In Custom Barcode you can print or download barcode with company name, net and market price.
Note Custom Barcode Print is only applicable for EAN 13 in Price Tag with barcode and company name should be short.

Example for Custom Barcode Print :

  • Select radio button with Custom Barcode Print in Multiple Barcode.
  • Now Go to Items >Price Tag with Barcode module > Click on any product/service icon.
  • Enter how much barcode you want to print ( example 2).

* GSTR1 and GSTR 3B Report

GSTR1 and GSTR 3B Report is a monthly or quarterly return that should be filed by every registered dealer. It contains details of all outward supplies i.e sales. These two reports will be visible only if you had entered GSTIN number under Edit company setting.
  • Select GSTR1 or GSTR 3B Report and pick the select tax period, aggregate turnover in preceding financial year, aggregate turnover-april to june 2018 and financial year for your report.
  • You can either export it in Excel in a .XLS or .CSV file, or you can export it straight, where you can file it.

*Activation

When you purchase Exfi Billing software, you will get Activation key.You have to enter that key here and click on check activation button, to activate Exfi.
